FleetCollect, a compliance platform for motor carriers, has launched automatic SMS reminders that notify drivers when their Driver Qualification File (DQF) documents are about to expire. The feature aims to address a common pain point for carriers: the unnoticed expiration of medical cards, MVR reviews, or CDL renewals that can lead to audit failures.

Every motor carrier is required by FMCSA regulation 49 CFR §391.51 to maintain a DQF for each driver, encompassing 18 documents including pre-employment records, annual reviews, and ongoing testing. According to FleetCollect, these files are often the first category DOT auditors examine and the most likely to be found deficient. The new SMS reminders target the renewal process that frequently trips up carriers, texting drivers at 30, 14, 7, and 1 day before expiration, and again if the document lapses. The messages include a secure link for drivers to upload renewals directly from their phones, eliminating the need for office staff to chase paperwork.

The reminders are included automatically on every plan, with no additional charge. FleetCollect founder Herman, a former CDL holder and carrier, emphasized that the feature is designed to be standard rather than a premium add-on. "The medical card nobody remembered is the thing that fails your audit. The driver has the document and a phone. The software should just ask them for it at the right moment — and read the date so nobody has to. That shouldn't be a premium feature; it should just happen," he said.

FleetCollect tracks all 18 §391.51 items on a single dashboard, integrates with Checkr for background checks and drug tests, uses OCR to read uploaded documents, and allows drivers to upload records via a secure portal. The platform also stores data encrypted with multi-year retention and can export a complete, audit-ready PDF for any driver. The new SMS reminders run on carrier-attested driver consent, and drivers can opt out by replying "STOP."

The platform is built for small to mid-size fleets, including owner-operators, auto transport, and farm trucking operations. It works alongside existing ELD systems like Samsara and Motive, focusing on compliance paperwork rather than hardware. According to the company, even less tech-savvy users can get started without training.
